This Module helps you keep track of all your Equipment, it can keep track of Hours, Oil Change, Maintenance Required. Before you go on to Creating an Equipment Log you need to add the Equipment in Cost Items Database, to add go to:

  • Menu > Cost Items Database > Equipment Tab > Select Options for Equipment Items > (To Add Manually) select Add Equipment > (To Import) Select View Import Template (Download this Template, add Equipment data) then select Upload & Preview CSV.

 

Once that is done you can go on to Creating a New Equipment Log, to do so go to:

  • Menu > Equipment Logs > Add info as needed (Add an Attachment if needed) > Submit.

 

NOTE: Please keep in mind on the App the “Add Attachment” is like a camera button.

This Module helps you keep track of all your vehicles, it can keep track of Miles, Hours, Oil Change, Maintenance Required & even if toll was paid. Before you go on to Creating a Vehicle Log you need to add the Vehicles in Company Settings, go to:

  • Menu > Company Settings > Vehicle Tab > Add Vehicle (on the right in Blue) > Fill out the info needed > Submit.

 

Once that is done you can go on to Creating a new Vehicle Log, go to:

  • Menu > Vehicle Logs > Create a New Log > Fill out info needed > Submit.

Purpose:

To Create a log of when equipment was used, serviced, and its current location.

Background:

For companies that have pieces of Equipment that needs hours and maintenance tracked, Contractor Foreman provides you with Equipment Logs. Operators can quickly and easily track hours and report maintenance issues directly to the office.

Points to Remember:

Required fields are marked with an Asterisk (*.)

To save your work, click the blue “Submit” button.

To edit the record, click the green pencil icon in the upper right corner.

Deleting Items can only be done by a person with Admin Rights or if you are given access to do so.

If an Equipment Log need to be Deleted, you can do so by clicking on the “Action” button at the bottom of the page on the right.

Steps to Create a New Equipment Log:

  1. Navigate to Main Menu.
  2. Click on Equipment Logs.
  3. Click on blue button “Create a New Log” on the left.
  4. Enter the following information:
  • Log Date:
  • Equipment: (Mandatory) Select from Drop-down.
  • Location: (Mandatory) Select from System List.
  • Beginning/Ending Hours:
  • Total Hours:
  • Employee/Operator: (Mandatory) Select from Drop-down.
  • Fuel (Gal) Added:
  • Water Inspected: Check Box.
  • Lube Inspected: Check Box.
  • Last Oil Change:
  • Last Tire Rotation:
  • Needs Repair or Maintenance:
  • Add an Attachment: Upload all Photos & Files in link to this Project. (On the phone or Tab this would be a Camera button so just click away & it will upload here automatically)

Vehicle logs, tracking miles and maintenance can be a time-consuming job for any company. Contractor Foreman gives you a very effective tool to do just that. Each person that drives a vehicle that needs mileage, Oil changes, maintenance and things like tolls tracked can easily use logs to keep detailed vehicle logs.

Points to Remember:

Equipment Logs

To create a new Equipment Log, go to main menu and select “Equipment Log” Then select either the small “New” button to the right of “Equipment Log” or select “Create a New Equipment Log” from the top of middle pane (List View.)

Required fields are marked with and Asterisk (*.)

Equipment: Select the piece of Equipment used from the drop down. Note: To Add Equipment go to “Settings.”

Location: From the Drop Down box select the project/location the equipment was used at.

Used date and Hours: Enter the date the Equipment was used and number of total hours.

Generated By: Contractor Foreman will auto populate this field based on User Login.

Oil Changed: Enter the date and hours reading for when Oil was Changed.

Scheduled Maintenance: Enter the Date and Hours Scheduled Maintenance was done.

Needs Repair or Maintenance: Use this field to document any Repairs or Maintenance items needed. Also can be used for general notes.

To save the record click “Submit.”

To Edit the record, click the green pencil icon in the upper right corner of screen.

Vehicle Logs

Log Date: Using the Calendar select the date for the Vehicle Log.

Employee: Select the Employee who operated the Vehicle.

Vehicle: Select the vehicle used. In settings, you can set default vehicles for employees if they generally drive the same vehicle each time.

Trip Mileage: Enter the beginning and End Mileage.

Total Mileage Based on Trip Mileage: Field will automatically calculate Trip Mileage based on Fields above.

Hours Used: Enter total of hours used. Either total Driving time or total time employee had the vehicle.

Tolls: Enter any Tolls paid.

Start Location: Enter the location the trip originated from.

Destination: Enter the location of Destination.

Project: Using the Drop Down box, select the project the vehicle was used for. There are generic selections available for general driving.

Purpose: Enter the purpose of the trip.

Oil Changed: If a Vehicle had Oil Changed, enter the mileage here.

Tire Rotation: Enter the Mileage the tires were rotated here.

Needs Maintenance: If a maintenance issue was noted, enter the date it was discovered here. Use the note field below to enter any details regarding needed maintenance.

Notes: Enter any detailed notes or maintenance items.

To save the record click “Submit.”

To Edit the record click the green pencil icon in the upper right corner of screen.
