Contractor Foreman makes it easy to add your estimated labor amounts as well as track labor and calculate your costs. 

Estimated

When creating an estimate, add a Labor item to your Estimate (or Schedule of Values) and associate the appropriate cost code to it.  In order for labor to be calculated correctly, make sure to enter it as an hourly rate and not as a lumpsum rate.

Example
Item Type: Labor
Item Name: Framing
Cost Code: 0100 – Rough Framing
QTY: 14
Unit: Hours
Price: $75

Using the example above, our estimated labor for cost code “0100 – Rough Framing” will be 14*75=$1050.

NOTE: Currently the rate is taken from the hour rate associated with the cost code.  In an upcoming update, the option will be provided to calculate the rate based on the Employees wage, billing rate, or burden rate.

Tracking Labor

Contractor Foreman provides several different time card solutions that your team can use to easily track the time spent on a project and performing each task.  The key to correct labor tracking is making sure that your crew selects the correct Project and the correct Cost Code each time they they clock in.

Example
Time Card: 17 Hours
Cost Code: 0100 – Rough Framing

Using the example above, our committed labor for cost code “0100 – Rough Framing” will be 17*75=$1275.

 

Calculating Labor Cost

When you correctly setup your labor items in your Estimate (or SOV) and when your crew correctly selects the project and cost code while performing work, the labor costs will be quickly available in the Financial tab of the project as well as in the Labor reports.

In the report, it will show an over/under of $1050 – $1275= ($225).  So here, we underestimated and over spent.

The Time Card GPS Location is a great feature used by many companies. It can Pin Point the employees Location at the time of Clocking in or out, On & Off Break & Even when they change their Project (If they should move to another job site) You can activate this feature by going to:

  • Menu > Company Settings > Default Tab > Use GPS Location for Time cards > Click the Off button to On.

 

NOTE: This Feature only works if the employee keeps the GPS on the device switched ON.

Purpose:

To Create a Time Card.

Background:

In Contractor Foreman, you have the option of turning on or turning off GPS Tracking (See Settings). If turned on, GPS tracking only logs the current location of where an employee clocked in at and clocked out at. It does not track all movement throughout the day. GPS tracking does not work on the Web Panel (Desktop version.) In addition, phone must have GPS turned on for GPS to work in Contractor Foreman.

 

NOTE: GPS tracking is only as reliable as the hardware being used. Older devices or devices used underground or in large buildings often have difficulties obtaining GPS signals.  This is due to the device being used and not the app.

Points to Remember:

Required fields are marked with an Asterisk (*.)

To save your work, click the blue “Submit” button.

To edit the record, click the green pencil icon in the upper right corner.

Deleting Items can only be done by a person with Admin Rights or if you are given access to do so.

If a Time Card needs to be Deleted, you can do so by clicking on the “Action” button at the bottom of the page on the right.

Steps to Create a Time Card:

  1. Navigate to Main Menu.
  2. Click on Time Cards.
  3. Click on one of the three blue button “Create a New Time Card” “New Crew Card” “New Crew Sheet” on the left.
  4. Enter the following information:

Create a New Time Card:

  • The date/Time & Employee: Will auto populate.
  • Project/Location: (Mandatory)
  • Cost Code: Select from Drop-down.
  • Tags: Select from Drop-down.
  • Clock In: (Mandatory) Will show as soon as you click on start.
  • Counter: Will auto populate.
  • Any Injury: (Mandatory) Select one Yes or No.
  • Clock Out: Will auto populate.
  • Internal Note:
  • Update Note:
  • Time Card History:
  • Modify Time Card:

 

New Crew Card:

  • Employees: (Mandatory)
  • Project/Location: (Mandatory)
  • Supervisor:
  • Notes:
  • Update Note:
  • Clock In, Break, Resume & Clock Out: Will auto populate when click on.
  • Employee Log:

New Crew Sheet:

  • Work Date / Supervisor: (Mandatory) Will auto populate.
  • Project: Select from Drop-down.
  • Any Injuries: (Mandatory)
  • Notes:

  • Add New Entry (Employee) You can add as many as you would like.
  • Employee: Select from Drop-down.
  • Clock In: Click to add Time.
  • Clock Out: Click to add Time.
  • Total Hours: Can be added without Clocking In or Out.
  • Project: Select from Drop-down.

In most cases, to Total the time within a Report, you can click the Auto-Sum button to see how many hours were worked.  But other times, Excel likes to assume it knows what you are looking for and formats the Auto-Sum value in a way that shows the wrong calculation.

Timecards

Adding Timecards:

Click Timecard in main menu, then click “New Employee Timecard” at top of list view.

Date field will automatically fill in and the time field will auto populate once “Start” is clicked. Employee field will automatically fill in based on login information.

Select Project from Drop down list, then select Cost Code from drop down list (if they are being utilized). Then click the “Start” button. The timecard has now begun counting hours.

When a break is taken click “Break” and when off break click “Resume.”

If an employee changes the work they are performing or changes projects, simply click the Cost Code field and select new Code or the Project field and select new Project. Contractor Foreman will automatically switch cost codes and projects while tracking hours.

There is a note filed to add any notes pertinent to that timecard.

At the end of day, simply click “Stop” and Contractor Foreman will automatically calculate hours based on projects and cost codes. Contractor Foreman will automatically ask if there was an injury that day. Your employee must select yes or no to continue clocking out.

In the Web Panel, Contractor Foreman will show map thumbnails of clock in and clock out locations. In the app, click the location pin beside the Clock In and Clock Out field to see the GPS location.
